How to Edit Your Email Signature in Outlook
Step 1: Identify Your Version of Outlook
✅ Outlook Web (Browser Version)
You’re using Outlook Web if:
You open Outlook in a web browser like Chrome, Edge, or Firefox
The address bar shows something like
https://outlook.office.com
You do not have a dedicated app installed on your computer
✅ M365 Outlook (Desktop App)
You’re using the M365 Outlook if:
You are using the Outlook desktop app
The interface looks modern and minimalistic with rounded buttons
✅ Outlook 2019 (Desktop App)
You're using Outlook 2019 if:
You open Outlook from the Start menu or desktop shortcut, and it launches a classic interface with File, Home, Send/Receive, View tabs in a ribbon across the top
Click File > Office Account, and it says Outlook 2019 or Office 2019
Step 2: Edit Your Email Signature
For Outlook Web (Browser Version)
1. Sign in to Outlook at https://outlook.office.com
2. Click the gear icon (⚙️) in the top right
3. May need to select "View all Outlook settings"
4. Go to Account> Signatures
5. Signature should be there to edit, if no signature visible you will need to click New Signature
6. At the bottom of this page,ge you will see an example signature. Highlight, then copy and paste this signature into the Signature box. Edit with your information.
7. Select default signatures (new messages, replies/forwards)
For M365 Outlook (Desktop App)
1. Open the Outlook desktop app
2. Click the gear icon (⚙️) in the top right

1. Open Outlook 2019
2. Click File > Options
3. In the Outlook Options window, select Mail
4. Click the Signatures... button on the right
5. In the Signatures and Stationery window:
- Click New to create a signature or select one to edit
- Copy and Paste the signature at the bottom of this page
- Edit Signature details to input your own info
- Set the default signature for new messages and replies/forwards
6. Click OK to save your changes
